Check-In Form

Record Shift start times, verify volunteer attendance, and manage activity access.

The Check-In form confirms Volunteer arrival on the day, records Shift start times, and grants access to Shift activities.


Where to Assign the Form

The Check-In form can be applied in the following locations of the Rosterfy application:

Organization Level (Global)

Assigning a Check-In form at the organization level applies the feature across all Events and Shifts by default.

  1. Click Settings > Organization Settings.

  2. Click the Events tab.

  3. Click the Default Shift Check-in Form field dropdown to select a form.

  4. Click the Save button.


Event Level

Assigning a Check-In form within a specific Event's settings assigns the form exclusively for that Event and all of its corresponding Shifts.

  1. Click Events > Events.

  2. Click the More Actions menu on the Event you wish to assign a check-in form to.

  3. Click Update. The Event appears:

  4. Click the Shift Defaults tab.

  5. Click the Default Shift Check-In Form field dropdown to select a form.

  6. Click the Save button.


Shift Level

Assigning a Check-In form on an individual Shift applies the setting strictly to that single Shift, leaving the rest of the Event unaffected.

  1. Click Events > Events.

  2. Click the View Shifts button on the Event the Shift is located. The Event's Shift list appears:

  3. Click the More Actions menu on the Shift you wish to update.

  4. Click Update. The Shift appears:

  5. Click the Forms tab.

  6. Click the Shift Check-In Form field to select a form.

  7. Click the Save button.


Where the Form Appears

Clicking the Check-In button during the check-in process prompts the form to appear. The form also appears when a Leader is checking a Volunteer in, or a Volunteer is checking in via self check-in methods.


Duration and Availability

The Check-In form is active during a Shift's check-in window.


Form Rules

See the following supported and unsupported features:

  • ❌ No shareable link.

  • ❌ Tab breaks not supported.

  • ❌ Page breaks not supported.

  • ✅ Add Content supported.

  • ❌ Add Referees not supported.

  • ✅ Add availability supported.
