Add, Update and Sort Dropdown Options For an Option Custom Field

Sort, reorder, and manage answer choices for Option custom field dropdown menus appearing on forms and system records.

Option (Select One) and Option (Select Multiple) custom fields display as dropdown menus with your chosen answers listed as options across forms and system records. By default, these options appear in the order they were created but can be reordered at any time.

💡Tip: This article applies exclusively to Option (Select One) and Option (Select Multiple) custom fields only.


Add a Dropdown Option

  1. Click Settings > Custom Fields.

  2. C​lick the More Actions menu on the Option (Select One) or Option (Select Multiple) custom field you wish to update.

  3. Click Update. The Update Custom Field window appears:

  4. Scroll to the Options section of the page.

  5. Click the Add button. The Add Option window appears:

  6. Enter information into the following fields:

    • Value: The internal code or number saved for reporting and calculations (e.g., Label: 😀, Value: 5).

    • Label: What users see and select in the dropdown menu.

    • (Optional) Sort Order: Controls where the option appears in the dropdown menu, ordered from lowest to highest number. You can use any whole number, including negative numbers (e.g., -1) to force an option to the very top.

  7. Click the Save button.


Update a Dropdown Option

  1. Click Settings > Custom Fields.

  2. C​lick the More Actions menu on the Option (Select One) or Option (Select Multiple) custom field you wish to update.

  3. Click Update. The Update Custom Field window appears:

  4. Scroll to the Options section of the page.

  5. Click the More Actions menu on the option you wish to update:

  6. Click Update. The Update Option window appears:

  7. Edit the fields as desired.

  8. Click the Save button.


Delete a Dropdown Option

⚠️ Warning: Deleting an option is a permanent action and data cannot be restored after deletion.

  1. Click Settings > Custom Fields.

  2. C​lick the More Actions menu on the Option (Select One) or Option (Select Multiple) custom field you wish to update.

  3. Click Update. The Update Custom Field window appears:

  4. Scroll to the Options section of the page.

  5. Click the More Actions menu on the option you wish to update:

  6. Click Delete. The following window appears:

  7. Click the I would like to: dropdown menu and select one of the following options:

    • Delete field and corresponding data

    • Delete field but retain existing data

    • Delete field and merge data into existing option > click the Merge into: dropdown to select the option to merge data to.

  8. Click the Yes button.
